Personal Data in the Application Process

Personal data refers to information relating to an identified or identifiable natural person. This includes details such as your name, address, phone number, and date of birth, as well as information about your professional background that can reasonably be linked to a specific individual. Information that cannot be directly or indirectly associated with your real identity is not considered personal data.

Legal Basis and Purpose of Processing Personal Data During the Application Process

If you apply to us electronically—by email or via our web form—we collect and process your personal data for the purpose of handling your application and carrying out pre-contractual measures.

By submitting an application through our recruiting page, you express your interest in employment with us. You provide personal data that we use and store solely for the purpose of your job search/application.

In particular, the following data is collected:

Email address
Telephone number
LinkedIn profile (optional)
Channel through which you became aware of us

You also have the option to upload supporting documents such as a cover letter, CV, and certificates, which may contain additional personal information (e.g., date of birth, address, etc.).

Access to your data is granted only to authorized HR staff and employees involved in the recruitment process.
Your personal data is stored solely for the purpose of filling the position you applied for.

Your data will be stored for 180 days beyond the conclusion of the application process, typically to fulfill legal obligations or defend against potential claims. After this period, we are required to delete or anonymize your data. In that case, it will only be available as metadata (e.g., gender ratio of applicants, number of applications over time) for statistical analysis.

Additionally, we reserve the right to retain your data in our “Talent Pool” for 365 days after the end of the application process in order to identify potential future opportunities. This also applies to applications for internships or apprenticeships. By accepting this privacy policy, you consent to this extended storage and inclusion in our Talent Pool.

If you receive and accept a job offer from us, the personal data collected during the application process will be stored for at least the duration of your employment.

Disclosure of Data to Third Parties

The data transmitted as part of your application is transferred via TLS encryption and stored in a database operated by Personio GmbH, which provides HR management and applicant tracking software (https://www.personio.de). Personio acts as our data processor in accordance with Article 28 of the GDPR.
The basis for processing is a data processing agreement between us (the controller) and Personio.

Your Rights as a Data Subject

If we process your personal data, you have certain rights under Chapter III of the EU General Data Protection Regulation (GDPR), depending on the legal basis and purpose of processing. These may include:
